Office Manager Position

The Office Manager position is an excellent entry level position within our company, and could be a great starting point for additional responsibilities for the right person. CedarPoint is targeting a start date of April 15, 2013, to allow sufficient training time and to coincide with the departure of our current Office Manager. This role will provide you with exposure to a wide variety of tasks, as listed below.

Duties:

  • You will become the voice of CedarPoint, answering the telephone and directing incoming calls to the appropriate person, or "gatekeeping" as necessary,
  • Open and sort incoming mail and courier packages; prepare outgoing mail and couriers and deliver to post office/UPS drop box as necessary, typically daily,
  • Maintain an up-to-date inventory of all office supplies, stationary and marketing supplies,
  • File client statements and correspondence both hard copy and electronically,
  • Keep office clean and orderly,
    • Weekly light cleaning of the office - water plants, vacuum, dust, etc.,
    • Friday of each week take garbage and recyclables down to dumpsters,
  • Ensure that office equipment (printers, phones, computers, mail/stamp machine, etc.) function properly and that any necessary maintenance schedules are being adhered to, in conjunction with our outside Technology Support Team,
  • Assist with the implementation of marketing programs as needed,
  • Organize client education and appreciation events,
  • Assist with the initial new client set up and their transition needs,
  • Stringently follow compliance guidelines and procedures,
  • Maintaining the necessary supplies within the office kitchen, and
  • Other duties and tasks as necessary, and as determined by CedarPoint to improve the efficiency of the firm, and to enhance our clients' overall financial planning and investment experience.

Qualifications:

  • High School Diploma is required, additional post secondary accomplishment is preferred,
  • Proficient in Microsoft Word, Excel, Outlook and PowerPoint,
  • Absolute dedication to detail and accuracy,
  • A pleasant telephone manner and upbeat personality,
  • Excellent English skills (verbal and written),
  • Very strong organizational skills and the ability to work independently with minimal supervision,
  • A "can-do" attitude and enthusiasm to assist on a wide range of projects,
  • A strong sense of teamwork. Specifically, the ability to follow direction well, ask insightful questions, work cooperatively and effectively with others to set and achieve goals, resolve problems, and make decisions to enhance company's effectiveness, and,
  • Ability to physically lift 20 pounds.

Compensation:

  • Salary will reflect experience and qualifications,
  • Ten paid "personal/vacation" days per year,
  • Participation in the Health Reimbursement Account Plan the first month following 30 days employment,

This position will require an individual that is highly punctual and is available between the hours 8:00 am to 5:00 pm, Monday through Friday. For the right candidate, modest adjustment in start/finish times may be available.

This position will not be licensed therefore offering advice to clients on any matter is strictly prohibited. Additionally, if you have prior experience with an investment firm or other financial institution, you are expressly forbidden to bring any information relating to past client exposure with you.
